Before You Start
To add a new business with expiration, first contact the Como Readiness and Training team to:
- Enable for this business process to automatically tag expired members
- Ensure the proper support from the POS (such as pop-up which appears when an expired member is identified)
How To Set Up Expiration Date
- Registration form:
Click on '+field' to explore additional fields that can be added to the registration form.
Include the 'expirationDate' field in the 'More Fields' section.
Enable the 'expirationDate' field in the registration form. Please note that you should disable the field after registration to prevent members from updating their own expiration dates.
Click Save! - Campaign Center:
Create a rule with your preferred action (joining the program, making a purchase, updating member profile, etc.) to designate an expiration date using the 'Extend Membership Expiration' option. It's important to note that, currently, the expiration date can only be updated by a fixed number of years (e.g., 1 year, 2 years, etc.).
When a member becomes expired, they will receive the 'membershipExpired' tag. You can utilize this tag to restrict access to the club for active members tagged as 'membershipExpired'.
Limit Acitivites of Expired Members
By default, expired members are treated in the same way as other registered members. This means that all actions performed from automations and Find/Filter members will apply to expired members, and all benefits can be used/redeemed by expired members.
To limit benefits and automations of expired members, you need to ensure that they only apply to members who do not have the following tag: membershipExpired.
Update Expiration Date
Expiration date can be updated in several ways and you can see it from the Expiration Date field in the member profile.
Rules
You can extend member profile by action (joining the program, making a purchase, updating member profile, etc.) to assign a new expiration date through the 'Extend Membership Expiration' option.
Note: When setting a new expiration date, don't forget to include the action to untag 'membershipExpired.' If you omit this action, the member may still be restricted from activities even though they are not an expired member.
Import Members
To migrate an existing program with expiration to Como Sense, you'll need to import the members including their expiration date.
Membership Status
When the expiration date has passed, the member's membership status as shown in the Como Hub will remain as Registered. However, the status that is returned to the POS will be Expired. We recommend that the POS should display a pop-up when an expired member is identified to encourage them to renew their membership (so they will be able to enjoy their club).
Search for Expired Members
From Filter Members, you can search by member's tag is one of membershipExpired or get more insight from the looker according to a specific expiration date.
